Studio Coordinator
Are you passionate about creating exceptional client experiences? We're looking for a Studio Coordinator to be the welcoming face and heartbeat of our studio. As the first point of contact for clients, you'll play a crucial role in ensuring a warm, professional, and seamless experience. Your strong communication, organizational skills, and ability to multitask will contribute to the overall success of our team.
What You'll Do
Provide an unmatched client experience, ensuring every guest feels welcomed and valued.
Greet and assist clients with professionalism, creating a positive first impression.
Schedule and manage appointments, optimizing resources while ensuring smooth operations.
Handle client inquiries via phone, email, and in person, providing accurate information about services, pricing, and policies.
Maintain and update client records, ensuring accuracy, confidentiality, and compliance with privacy regulations.
Guide clients through necessary forms and consent documents, ensuring understanding and completeness.
Process payments and insurance verifications (if applicable), providing receipts and invoices as needed.
Collaborate with the team to coordinate studio operations and maintain an efficient workflow.
Keep the front desk and reception area organized, including waiting areas and product displays.
Manage inventory of office supplies and place orders as needed.
Stay informed about services, promotions, and treatments to effectively assist clients.
Assist with marketing efforts, such as distributing promotional materials and gathering client testimonials.
Handle confidential information with discretion and professionalism.
Take on additional administrative tasks as needed to support the team.
What You Bring
Exceptional written and verbal communication skills.
Ability to thrive in a fast-paced, customer-focused environment.
Experience with social media management is a plus.
Strong ability to work independently and collaboratively with both in-person and remote team members.
A team player mentality with a proactive and solutions-oriented mindset.
Highly organized and detail-oriented, with the ability to multitask effectively.
Passion for learning and a self-starter attitude.
Preferred Experience & Education
Bachelor's degree or equivalent industry experience preferred.
Experience with medical CRM or Zenoti is a plus.
